The following are the rules or "Terms and Conditions" that govern use of the MyOrlandoGroup.com Web site ("the Site") for group travel planning by Tour Operators and religious, reunion and sports group leaders. By using or visiting the Site, you expressly agree to be bound by these Terms and Conditions and to follow these Terms and Conditions and all applicable laws and regulations governing the Site. MyOrlandoGroup.com reserves the right to change these Terms at any time, effective immediately upon posting on the Site. Please check this page of the Site periodically. If you violate these Terms and Conditions, MyOrlandoGroup.com may terminate your use of the Site, bar you from future use of the Site, cancel your reservations or charter, and/or take appropriate legal action against you.
This Web site is provided solely to assist you as a tour operator or sports, religious or reunion group leader by allowing you to determine the availability of travel-related goods and services and to make legitimate reservations or otherwise transact business with suppliers in your name (the "Travel Planners"), and for no other purposes. You warrant that you are at least 18 years of age and possess the legal authority to enter into this agreement and to use this Web site in accordance with all terms and conditions herein. You agree that any and all Travel Planners you designate will be at least 18 years of age. You agree that you will be financially responsible for your use of this Web site by you or any and all Travel Planners you designate (as well as for use of your account by others, including, without limitation, minors living with you). You agree to supervise all usage of this Web site by your Travel Planners and minors under your name or account. You warrant that all information supplied by you, members of your household, or Travel Planners acting on your behalf in using this Web site is true and accurate. Without limitation, any speculative, false, or fraudulent reservation or any reservation in anticipation of demand is strictly prohibited, whether such actions are conducted by you or your Travel Planner. You agree that the travel services reservations facilities of this Web site, whether used by you or your Travel Planner, shall be used only to make legitimate reservations or purchases for you or for another person for whom you are legally authorized to act. Additional terms and conditions will apply to your reservation and the purchase of travel-related goods and services that you or your Travel Planner have selected. You agree to be bound by the terms and conditions of your purchase imposed by any supplier with whom you or your Travel Planners have selected. You understand that the violation of any such supplier's conditions of purchase may result in (i) cancellation of your reservation(s), booking or purchase, (ii) denial of access to any hotels or coaches, (iii) forfeiture of any monies paid for such reservation(s) or purchase, and (iv) MyOrlandoGroup.com debiting your account for any costs MyOrlandoGroup.com incurs as a result of such violation. You shall be fully responsible for all charges, fees, duties, taxes, and assessments arising out of your use of this Web site, and, without limitation, you shall be responsible for all charges, fees, duties, taxes, and assessments arising out of transactions conducted by your Travel Planners on your behalf, whether or not such transactions were conducted with your express consent.
HOTEL RESERVATIONS POLICY
RESERVATIONS TRANSACTIONS
MyOrlandoGroup.com provides a listing of hotels in the results of the Travel Planners' Group Hotel Search. To protect our customers, no prepaid reservation deposits or balances due will be completed until billing, credit card and hotel information have been verified as accurate by the credit/debit card company and reservations have been processed. Until all such information is verified and processed, the rate and other charges are subject to change.
RESERVATION PAYMENT
- A deposit of first night's room and tax of the original group reservation is due
at time of booking/acceptance of quote (or at least sixty (60) days in advance of
the arrival dates) to secure the availability and price. Payment should be
made directly to the hotel.
- Final payment for Group Reservation is due and payable at least thirty (30) days in advance of the arrival date directly to your chosen hotel.
- Group Reservations booked less than thirty (30) days prior to Arrival Date must be paid in full with a money order, bank check or charge card at time of booking.
Check with your chosen hotel for payment procedures.
CANCELLATION
Changes and cancellations can only be made by contacting MyOrlandoGroup.com online or with a MyOrlandoGroup.com Orlando Market Specialist. Reservations originally made on the MyOrlandoGroup.com booking technology may not be changed/cancelled by contacting the hotel.
Cancellations made thirty (30) days prior to the Arrival Date may, at the discretion of the hotel, be charged an amount no more than the first nights' room and tax for all rooms that are included in the Final Group Room Booking.
Cancellations must be confirmed by email from a MyOrlandoGroup.com Orlando Market Specialist or posted on your MyOrlandoGroup.com account. A change in the Arrival Date is considered a cancellation.
ADDITIONAL CHARGES
Prices quoted are based on 1-4 guests in a room. Additional charges may apply depending on hotel, which will be noted on the hotel description. Rates and room types are provided based on hotel availability and may change unless previously confirmed electronically by MyOrlandoGroup.com. Extra charges incurred may include, but are not limited to phone charges, room service, pay per view movies, and meeting space rental, which are the sole responsibility of the guest and must be paid directly to the hotel upon check out. The hotel has reserved and lost the opportunity to sell a room once a Group Reservation is processed and acknowledged. No refunds will be possible for early checkouts or late arrivals
TAX RECOVERY/FEES
Tax is assessed from your chosen hotel for your group reservation. Types of
taxes may include reservation of sales, resort, use, excise, lodging, local, value added and other similar taxes. Transaction fees include credit card processing, distribution and alliance fees related to the handling of a reservation. We are not the supplier remitting required taxes to the applicable tax authorities. Participating
hotels remit required taxes to the applicable tax authorities. Appropriate tax rates vary greatly and may vary depending on the taxing authority and actual use of the services provided to the Travel Planner.
LEGAL TERMS AND CONDITIONS
Definitions. Capitalized terms used but not otherwise defined herein shall have the following meanings:
"Affiliate" web sites are other channels of MyOrlandoGroup.com, its partners and alliances through which MyOrlandoGroup.com provides booking technology.
"Cancelled Group Reservation" includes the reduction in a room block, whether it is one room, one room night, and/or the balance of a group room booking.
"Change Request" includes but is not limited to adding or subtracting to the guest room count, rate type, or method of payment
"MyOrlandoGroup.com Group" includes all guests booked using the MyOrlandoGroup.com Booking Engine or by contacting a MyOrlandoGroup.com Orlando Market Specialist.
"Final Group Room Booking" is the most recent group reservation sale for a specific Booking I.D. which MyOrlandoGroup.com has issued an electronic acceptance.
"Group Arrival Date" is the date reserved for the first MyOrlandoGroup.com guest to register as part of a specific block of rooms booked by the Travel Planner. If guest books directly with the hotel and arrives earlier than the arrival date booked by MyOrlandoGroup.com, then the arrival date is the day confirmed through MyOrlandoGroup.com.
"Easy Quote" is performed using the MyOrlandoGroup.com group booking engine or by contacting a MyOrlandoGroup.com Orlando Market Specialist to determine hotel and rate availability based on customer criteria.
"Group Reservation Booking Date" is the date that the Travel Planner, Participating Hotel and MyOrlandoGroup.com have all confirmed acceptance of a reservation for a specific number of rooms, on a specific date(s), at a specific rate.
Original Group Reservation Sale is the Group Revenue from the initial transaction the Travel Planner creates.
Original Group Room Count is the total number of room nights from the initial Travel Planner transaction for which a Booking ID was issued.
"Terms and/or Conditions" are rules that govern eligibility to allocate guest rooms, display rates and retain membership. MyOrlandoGroup.com reserves the right to amend these Terms at any time, effective seven days after they are initially posted on the Site. Your continued use of our services will signify your acceptance of any amended Terms

Our website contains links to websites operated by parties other than MyOrlandoGroup.com. Those links are provided to you for your reference and convenience only. We do not own or control the content of those websites and are not responsible for their content or your use of them. We do not endorse the content of any of the linked websites.

You communicate with MyOrlandoGroup.com electronically whenever you visit MyOrlandoGroup.com; affiliate sites or send emails to us. You consent to receive communications from MyOrlandoGroup.com electronically. You agree that all notices, disclosures, agreements and other communications that we provide to you electronically or by fax satisfy any legal requirements that communications be in writing.

You agree to defend and indemnify MyOrlandoGroup.com, its affiliates, and/or their respective suppliers and any of their officers, directors, employees and agents from and against any claims, causes of action, demands, recoveries, losses, damages, fines, penalties or other costs or expenses of any kind or nature including but not limited to reasonable legal and accounting fees, brought by: you or on your behalf in excess of the liability described above; or by third parties as a result of: your breach of this agreement or the documents referenced herein; your violation of any law or the rights of a third party; or your use of this website.
GENERAL
You agree that no joint venture, partnership, employment, agency or other relationship exists between you and MyOrlandoGroup.com as a result of this agreement or use of this website. We reserve the right to comply with law enforcement requests or requirements relating to your use of this website or information provided to or gathered by MyOrlandoGroup.com with respect to your use of this website. If any part of this agreement is determined to be invalid or unenforceable pursuant to applicable law including, but not limited to, the warranty disclaimers and liability limitations set forth above, then the invalid or unenforceable provision will be deemed superseded by a valid, enforceable provision that most closely matches the intent of the original provision and agreement shall continue in effect.
This agreement (and any other terms and conditions referenced herein) constitutes the entire agreement between the customer and MyOrlandoGroup.com with respect to this website and it supersedes all prior or contemporaneous communications and proposals, whether electronic, oral, or written, between the customer and MyOrlandoGroup.com with respect to this website. A printed version of this agreement and of any notice given in electronic form shall be admissible in judicial or administrative proceedings based upon or relating to this agreement to the same extent and subject to the same conditions as other business documents and records originally generated and maintained in printed form.
Fictitious names of companies, products, people, characters, and/or data mentioned herein are not intended to represent any real individual, company, product, or event. Any rights not expressly granted herein are reserve.
DISPUTES
If there is any dispute or controversy about or concerning the Site or this Agreement, you agree that such dispute or controversy will be governed by the laws of the State of Florida without regard to its conflict of law provisions. You agree to personal jurisdiction by and venue in the State and Federal courts of the State of Florida.
